📌 1. Process Overview (Snapshot)

The general passport renewal process involves:

  1. Filling and submitting the passport application on the Indian government passport portal.

  2. Registering and creating an account on the VFS Global website.

  3. Paying required fees and arranging courier/shipping for your documents.

  4. Mailing your documents to VFS.

  5. VFS forwards documents to the Indian Embassy/Consulate.

  6. Embassy triggers police verification in India (usually).

  7. Embassy prints the passport and returns it via courier.

⏱️ 2. Processing Time

  • Normal processing: 3–6 weeks (if last passport was issued in India).

  • Faster service (if last passport issued by Indian Embassy in USA): ~10 days (approximate).

  • You can apply up to 1 year before expiry—applying ~6 weeks before expiry is recommended.

📄 3. Documents Required

🧾 Mandatory Documents

  • Current/expiring passport (original).

  • 2×2 inch photos (2 sets).

  • Passport application form (printed from Indian government portal).

  • USA address proof (color, notarized if required):

    • Utility bills (electric, gas, water), lease/mortgage document, Driver’s license/State ID.

    • Note: US bank statements and mobile/internet bills are not accepted as address proof.

  • Indian address proof (if you wish to print/change Indian address).

  • Copy of passport details pages — first 5 pages and last 2 pages (total 7).

  • Annexure ‘E’ (Specimen Declaration).

  • Change of Appearance / Signature form.

  • Proof of valid US immigration status (e.g., valid visa, Green Card, I‑797, EAD).

👶 Additional for Child Passport

  • Annexure ‘D’ signed by both parents.

  • Birth certificate of the child.

  • Address proof for the parent(s).

  • Copies of visas/Green cards for the parents.

📍 Optional Documents

  • Highest qualification degree copy (for ECNR/ECR status).

  • Marriage certificate (if spouse name is to be added/changed).

  • Police report (only if the passport was lost or stolen).

Step‑by‑Step Registration/Application (Indian passport portal):

  1. Register on the portal and verify your email.

  2. Log in and start a new “Re‑issue” application.

  3. Fill applicant details, address, family details, and other required fields.

  4. Generate Application Reference Number (ARN) after saving.

  5. Review and submit the application.

  6. Print the completed application form.

📌 When printing, use one side of paper only and sign with blue/black ink.

📦 5. VFS Global — Fee Payment & Shipping

VFS Application & Logistics:

  • Create an account on VFS Global (VFS site recommended via desktop).

  • Start a passport service application → enter details including the government ARN.

  • If the “Select courier” option doesn’t show, try logging out and retrieving the incomplete application.

  • Choose a courier service:

    • VFS’s FedEx option (~$30 for two‑way shipping) is recommended.

    • If using your own return shipping, ensure the pre‑paid label does not expire (USPS labels sometimes expire).

📌 Shipping & Corrections

  • Address on your USPS/UPS label must match the USA address proof you submitted.

  • After VFS fee payment, download the shipping label and send the documents within required days (usually 15 days).

✍️ 6. Attestation / Notarization

  • Self‑attested means you sign your copies yourself; notarization is usually NOT required for most documents.

  • Passport copies, affidavits, Annexures, and legal status copies should be signed personally.

📦 7. Packaging & Mailing Tips

When preparing your packet:

  • Follow the VFS document checklist order.

  • Photo placement:

    • One on the passport application form.

    • One on the “Change of Appearance” form.

  • Use paper clips — avoid staplers.

  • Free FedEx envelope and return shipment handled by VFS if you selected their service
